Medical Professional & Client Profiling

The Temps and Clients tabs of TSS allow agencies to keep track of important Temp and Client information in one organized location. In these areas the user can:

  • Access complete Temp contact and HR information
  • Keep track of Temp Licenses and Certifications
  • View and update Temp availability and schedules
  • Manage Temp pay rates
  • Provide Temps with online TSS access for noting viewing and updating contact, availability, credential and payroll information
  • Store and share Temp and Client documents

  • Communicate with Temps and Clients
  • Track activity history for Temps and Clients
  • Provide Clients with online TSS access for submitting and viewing work orders and shifts, as well as certain Temp documents

The Temp Manager
The Temp Manager includes a Temp Info screen that displays contact and HR information as well as vital licensure and credentialing information. The Temp Calendar allows agencies to maintain accurate availability information and quickly view and modify current work schedules. Electronic copies of items such as licenses, certifications and skills checklists can be stored in the Temp Profile and emailed directly from TSS to Clients for review. The TSS Temp Access feature also allows the Agency to give Temps a user name and password allowing them to log-in to their profile and view their schedule, update their availability, review the status of their licenses and certifications and also review pay stubs.

The Calendar
The Temp Calendar displays the selected Temp's availability as well as shifts and/or assignments the Temp is assigned to work, preferred shifts and general availability. The Temp's professional and contact information is displayed at the top of the screen and all shifts for which the Temp is scheduled are displayed along the right hand side of the screen. This listing includes the Facility, assignment dates, certification and specialty. Shift and assignment information can be accessed here as well.

TSS Insight
The TSS Insight available in the assignment area of the Temp Calendar will display details about the Long Term Order. These details include: start date, end date, duration, days and hours per week, shift, certification, specialty, floor and facility contact name and information.

Temp Journal - This feature allows users to document all activities related to a specific medical professional. Entries include automated time and date stamps, shifts and assignments worked, those turned down by the Temp and those cancelled by the Client. Users can create follow-up tasks and to-do's for themselves and other users ensuring all important tasks are completed. View screen shot

Facilities - The Facilities area of the Temp Profile helps ensure the most preferred medical professional is placed on the right assignment. This screen displays the Temp's orientation status with each facility as well as whether the Temp is preferred by the facility or has been asked not to return. The information displayed on this screen can be customized using filters that include Status, Orientation status, Client selection and Region. A convenient Notes area allows the user to track additional information regarding the Temp and the Facility.

Licenses/Certifications - This License/Certification area provides the user with a centralized area to view, store and update a Temp's Licenses and Certifications, including whether the licenses and certifications have expired. The user can also track Compact State Licenses in this area of the Temp profile. The Compact State values entered here will be considered during License Expiration Reporting and Order Queries. Licenses and Certifications can also be shared with specific Clients and with the Temp via Temp Access. View screen shot

Documents - Keep track of all electronically stored documents for each medical professional, including electronic copies of licenses, credentials, resumes and any other documents required for employment purposes. These documents can be shared with Clients for verification purposes. The Temp can also view the documents using Temp Access. All documents can be emailed to Clients from this screen. Temp Access - Give medical professionals access to TSS and allow them to log in from their home and update their availability on-line. Medical professionals can also view their current work schedule, however they are unable to make changes to the schedule. View screen shot

Pay - Establish flexible rules for how your medical professionals are paid and then let TSS perform the calculations. View screen shot

  • Auto Pay allows the agency to assign pay rates based on the negotiated contract with your facility.

  • Differentials allow the agency to add or subtract a dollar amount when using the Auto Pay function.

  • Flat Pay makes it easy to assign a special rate to a special medical professional.

  • Contract Rates can be created for individual Temps in the event their pay and/or bill rates are unique and vary from the standard contract.

Availability - View which medical professionals are available to work within a specific time period, including standard 8 and 12-hour shifts. Easily set default availability statuses to quickly match your Temps with orders. A unique color-coding system allows the agency to determine which Temps are available. View screen shot

Temp Reporting - This area allows the user to run Temp-specific reports such as profiles, schedules, compliance, journal activity, annual assignment summaries by week and month, and evaluations. View screen shot

 

The Client Manager
The Client Manager in TSS addresses the fundamental data management needs facing today's healthcare staffing agencies. The Client Info screen displays pertinent rate, billing, floor and shift information, as well as contract renewal dates and Client Contacts information such as phone number, email addresses, etc. The Client Manager allows the user to execute a number of useful contact management activities such as create tasks, set a specific billing contact, send emails, track multiple phone numbers and send merge letters to contacts. Client Rate Groups can be accessed from the Client Profile. Rate Groups include specific pay and bill rate information based on certification and specialty. They also include overtime, holiday and charge pay rates. TSS also contains a Client Access module that will give your customers the ability to submit work orders and view scheduled shifts including Temp documents for medical professionals booked on assignments.

The Client Calendar
The Client Calendar allows the user to view the orders associated with a particular Client at a glance in either a weekly or monthly format. This includes open, filled and voided per diem and long term orders. Users can view previous and future months, display a printable view and customize the information displayed on screen. Custom display filters include Status, Order Type, Created Date, Certifications and Specialties.

The TSS Insight

Orders - The Client Order screen displays a list of all orders for the client within a time period. Display includes order number, job dates, type of medical professional needed, shifts required, and more. View screen shot

Documents - Users can store, share and keep track of electronic documents for each Client in the Client Documents area. Electronic documents can include scanned rate contracts and proposals as well as other important documents. The improved document sharing features added to TSS 6.7 allows the user even more control and options when storing, sharing and tracking electronic documents, including the ability to email these documents directly to your internal staff members or to your hospital clients, and to share the documents with specified Temps via Temp Access. Client Settings - The Client Settings area holds important information such as custom shift times and options established by the facility and agency. Users can also select a default invoice layout, establish invoice terms, enter default lunch settings and worker's compensation code, and administer Client Floors information in the Client Settings area. Client Access - The Client Access feature allows Clients to submit work orders, view scheduled shifts and access certain Temp documents for medical professionals booked on assignments with the Client. Client Access is granted by the agency and requires a User Name and Password.

Client Reporting - The Client Reporting area provides quick access to client-specific reports such as the Client Profile report, Client Schedule report, Journal Activity report, 52 Week report and 12 Month report.
