TSS 6.7 Features
TSS 6.7 is designed to refine and perfect the already robust features of Clearview's unique, web-based healthcare staffing software solution. This release will provide an overall improved user experience.
TSS 6.7 Includes Great New Features and Enhancements:
Interface
TSS Header – The TSS header has been redesigned. Navigation tabs are now on the left side of the screen. The logged-in user's name is displayed in the upper right of the screen along with link options for logging out, setting user preferences and viewing tasks. The Help icon remains a blue button with a white question mark and is still located in the upper right corner. The Region selector can now be accessed from every screen. The redesigned header leaves room for additional tabs to be added as new features and functionality are added to TSS.
TSS Insights – TSS Insights (or simply Insights) are small pop-ups that provide quick access to key information in TSS 6.7. The Insight interface consists of one or more tabbed panels that focus on one facet of the area in TSS being viewed. Insights are available wherever a small “i” icon is displayed. Clicking the icon will display the Insight. For example, an Order Insight could display tabs for general Order information, a quick view of the Order's Notes fields, Pay and Bill information, and Journal Entries for the Order. In TSS 6.7, there is an insight for Orders, Long Term Orders, Temp and Client. You will see even more Insights in future versions of TSS.
Temp and Client Finder – The Temp and Client Finder feature has been added throughout TSS. This feature speeds up the process of locating specific Temps or Clients by allowing the user to perform a search in a floating pop-up window. With this feature users can search for a Temp by First or Last Name and Status. Users can search for Clients by Name, Status, Type, State and Zip Code. The user can select to display 10, 25 or 50 matches at a time for Clients. Both Temp and Client Finders display the number of results found. Results are grouped by search criteria. For example, if All Statuses is selected in Temp Finder, all Active Temps found will be displayed in one group while Prospects and Temps with other Statuses will be displayed in separate groups. To select the Temp or Client from the search results, simply click the Temp or Client name. The addition of the Temp and Client Finder feature to most TSS Reports enhances functionality by speeding up the time it takes for Reports to load.
User Preferences – This feature allows users to customize their experience throughout TSS. User Preferences will include settings such as default Certifications and Specialties for new Orders , default filters for Order Queries, default Calendar view and filters, default Subjects for Temp and Client Journals and Tasks, and many more. Click the new Preferences link at the top right of the newly redesigned TSS header to access and set User Preferences.
TSS Online Help – TSS Online Help has been improved significantly and includes new features. The most exciting new feature is a searchable database of updated TSS information available at your fingertips. Simply enter your keyword or question in the search field to view a list of related help topics. The design of the Online Help has also been enhanced and allows the user to navigate the Online Help area more easily. A new Page/Topic specific organization, including unique “How do I…” links, allows the user to find answers to questions more quickly than ever before. The Online Help navigation bar contains all TSS tabs and provides a sub-category breakdown of topics listed on each page.
Orders
The Order Manager has been redesigned to accelerate and improve the way orders flow through TSS. Enhancements include:
- Improved navigation for faster and more streamlined Order entry.
- Visible Order Entry Confirmation. After entering or modifying an Order, the new yellow TSS Information Bar will display the Order ID and Insight for the Order you just entered.
- Improved Order Query functionality includes the ability to search based on Temp Status, whether the Temp has been set as DNR or not, and whether or not the Temp is oriented at the facility.
- Improved Floor options and settings allow the user more control over how Floor settings are used in Orders. This includes the ability to select which specialties to view during Order entry and to select whether or not the Floor is required for an order.
- Reverse Query and Temp Calendar Query now indicated if a Temp is oriented at a facility with an ‘O' in the Facility Preference column.
- Entering information into the Status Notes field in the Order Query area will now add an entry to the Journal, but will not replace the existing entry for that Order.
- Email confirmation formatting has been improved for better readability. Also, the status of the order is now included in the confirmation.
Temps
- The new History Link allows the user to add a Temp's Employment History, Education History, Professional References, Profile Notes and Resume.
- License/Certification sharing has been enhanced significantly. It now includes the ability to share license/cert information with specific Clients as well as the ability to control sharing with the Temp via Temp Access.
- Compact States support is now part of the TSS License/Cert screen and is recognized by Queries and License Expiration Reporting. After your Agency is upgraded to TSS 6.7, please be sure to review your Temps licenses to see if the Compact State feature is applicable.
- Improved Messaging (using the Send Message link in the Temp Profile) allows users to edit content of template messages before sending.
- Temp Calendar appearance, functionality and performance have been improved. Users can now set user-specific preferences for working with the Temp Calendar.
- New filter options are now available in the Facilities area of the Temp Info screen. Filters include Status, whether or not the Temp is oriented at the facility, and the ability to browse using a specific Client selection and Region.
- Veteran Status has been added to the Temp Info screen.
- The Travel area has been removed from the Professional section of the Temp Info screen. This area is now its own section.
- The ability to select Shift Preferences has been added to the new Travel section of the Temp Info screen. This will help staffers keep track of which shifts the Temp prefers.
Clients
- Client Calendar appearance, functionality and performance have been improved. This includes a more user-friendly grouping of Long Term assignments , a weekly view option, same day shift sortability, and enhanced filtering options. A new Summary View displays a simple count of the number of Voids, Filled and Open shifts for a specific day. After clicking the Summary View link to display these counts, the user can then click on a Void entry to view more details such as Order ID, Status, Reason and Shift.
- TSS will now automatically switch the client's calendar view to weekly if Long Term orders exceed 50 for the month or Per Diem orders exceed 200. This will help the user more effectively manage orders and will improve calendar load time.
- A Rate Group finder has been added to the Rate Groups Manager to speed up the process of locating and editing Rate Groups. In this pop-up window users can search for a Rate Group by typing in the facility name or by selecting a name from the pull down menu. Rate Groups are no longer required when creating a new Client record.
- Sales Rep has been moved from the Client Settings page to the Client Info page
Tasks
The Task Manager has been completely redesigned with an easier to use interface and enhanced functionality. It now includes better filtering of tasks that are due, better visibility of tasks that have been assigned, ability to filter on completed tasks, sortable columns, TSS Insights, and the ability to email both the assignees and assignors.
Documents Upload
- In addition to the improvements to License/Cert sharing, TSS 6.7 now includes the ability to share Temp Documents that are not associated with a license or certification. With this new feature, Temp Documents can be shared with specific Client Access users or with the Temp via Temp Access.
- Client Documents now can be shared with specific Temp Access users or with the Client via Client Access.
- TSS 6.7 also includes a new document storage area called Agency Specific Documents. This is a storage area for documents that are not associated with a Temp or a Client. Examples are Agency Employment Applications, W4 and other tax forms, etc. These documents can also be shared via both Temp Access and Client Access. The Agency Documents feature is in the Admin tab of TSS.
- Documents uploaded to TSS can now be up to 3MB in size. Also, if the user tries to upload a file that exceeds the size limitation, TSS will now alert the user that the file is too large.
Reports
- All reports have been reviewed for results consistency, layout and performance. Additional filters have been added to many of the reports to help obtain more detailed results.
- All reports now have a more detailed header. The reports still show the printed date, time and how many records were found but as an added benefit, headers now display a condensed version of the criteria selected to create the report results.
- Availability Report has been enhanced with the ability to select multiple Certifications and Specialties and the ability to limit the number of results. Limiting the results significantly improves performance for users that collect extensive availability data.
- Temp Data Export Report has been enhanced to include additional items that are listed on the temp info page. This includes a Professional Section that allows the user to select whether or not to include Certification, Specialty, Years Experience, PRN/Travel (Temp Type), Travel/Contract Availability Date, Travel/Contract Location Preferences, Travel/Contract Notes, and Veteran Status.
- The current License/Certification Report has been renamed the Compliance Report and has been significantly enhanced to allow the user to Search for Out of Compliance, Search for Compliance and Show All Licenses in a more user-friendly, streamlined and intuitive layout.
- Temp and Client Profile Reports have been enhanced by adding the benefit of being able to search by d ates. New filters have been added to the report which also includes the ability to enter a specified time period. In addition to the added filters, the report layout has been improved dramatically, creating an easier to read format. The Temp Profile Report also has a few additional filters that enable the user to select specific temp information and also the ability to filter using the Temp's History.
- Journal Activity and Journal Summary Reports have an improved interface that will reduce confusion.
- The Birthday Report has been renamed the Anniversary Report.
The Executive Report has been enhanced to include the following:
- Faster, more optimized Queries.
- Users can now report by Temp, Client, Temp Staffing Specialist, Temp Recruiter, Client Staffing Specialist, or Client Recruiter.
- Users can now report against Temp Staffing Specialist, Temp Recruiter, Client Staffing Specialist, Client Recruiter, or Day, Week, Month (depending on the date range selected).
- Users can now select whether or not to include the Temp's social security number when a Temp is selected.
- When a Paid Date is selected, the User can now select whether or not to include Gross Adjustments.
- Users now have the option to include Other Hours, Mileage and Timecard Extra amounts in the report.
Temp Access
- Look and feel of Temp Access Messaging interface has been improved.
- Temp Access users can now view select Client, Agency and Temp documents. The Agency will determine which documents will be shared on an individual basis.
Client Access
- Improvements have been made to Order Requests workflow and email notifications.
- Client Access users can now view select Client, Agency and Temp documents. The Agency will determine which documents will be shared on an individual basis.
- Client Access users can be restricted based on Specialty. This allows users to see only certain aspects of TSS to which they have access privileges.
Messaging
- Template Manager has been overhauled and includes new features and increased flexibility. The user can now associate an email template with a specific Client. Selecting a Client will automatically populate Client information (such as name and contact) into the predefined template fields. The user also can now edit the body of the email message before sending. The “Blank Email Message, No Template” option allows the user to write a custom message in a blank text window.
- The user can now view a sent message by clicking on the message entry in the Temp's Journal.
- List and Template Managers include improved filtering functionality.
- Performance when sending a large number of emails at once has been improved.
Administration
- Enhancements have been made to the Certifications and Specialties interface that include the ability to inactivate individual Certifications and Specialties as needed.
- Additional permissions have been added to accommodate the various additions that have been made in TSS. The Cancellation Analysis Report and Group and Temp Rates have been taken out of the Management Report permissions, as they now have their own permissions.
